You write on the invoice
« + Invoice » or « + Quote » opens a draft exactly as it will come out: your company at the top, the client on the right, the date and the due date, the subject, then the lines. A line comes from your catalogue or is typed freely, a section sets a heading between two groups, a discount applies to one line or to the whole document. Totals and VAT per rate are worked out as you go, everything is saved as you type, and the preview shows the document marked as a draft.
The client is picked from your own list, created with a name and an address, or, for a firm, pulled in with one click from a client file that hasn't been invoiced yet.
One number, a locked document, a credit note to correct it
Finalising gives the document its number, continuous and with no gaps, by type and by year, and freezes its PDF. From then on it cannot be changed: an invoice is corrected with a credit note, an accepted quote becomes an invoice line by line, and the two point back to each other. A draft can be deleted, a finalised document never.
Sending, getting paid, following up
The document goes out by email with its PDF, in the client's language, French or English, with a covering note signed by your company. A payment is entered with its date, its amount, its method and its reference: partial, it leaves the invoice open; full, it moves the invoice to paid and the PDF says "settled".
The left-hand column carries the figures for the period, invoiced, collected, overdue, and the statuses that filter the list in one click: drafts, awaiting payment, partly paid, overdue, paid; and for quotes, ready, sent, accepted, refused, expired, invoiced.
Recurring invoices
A subscription is set up once: the client, the lines, the frequency, from monthly to yearly, the day of the month, the first invoice, an end date if you want one, and what each due date produces: a draft to review, a finalised invoice for you to send yourself, or a finalised invoice sent with no action from you. Invoices are produced in the morning, one per day per subscription, and each one carries its period in the subject line.
Chasing unpaid invoices
A sequence set up once, with our wording or yours, by default three reminders after the due date and, if you want, a polite note a few days before. The tab shows what is owed and what has gone out. Chasing is manual by default, one line at a time or all at once; a switch makes it automatic, every morning, with the invoice attached, one step per invoice per day. A client or an invoice can be taken out of the sequence in one move.
Electronic invoicing
Every finalised invoice or credit note produces its Factur-X: the same PDF, carrying its data in the European format with the details required by the French reform. Submission to an approved platform is developed and tested in a sandbox, from submission through to payment; it is not in production yet. We will say so here the day it is.
What it does not do yet
No deposit invoices and no batch production, no export to accounting, no inbound invoices from your suppliers. On a phone, the invoice is not drawn on screen: a short form fills it in, and it goes out from there.
The module is built and can be demoed; we haven't yet seen it running at a client's.
