ChatGPT in business: what are we talking about?
ChatGPT comes as individual plans, free or Plus, and as two plans for organisations: Business, for a team that wants an administered shared workspace, and Enterprise, for a large organisation, priced on quotation. The difference that matters to a director isn't the model, which is the same for everyone bar a few limits: it's what the plan guarantees about your data, and what it lets you plug in.
With an individual account, conversations can be used to train the models, unless the person changes the setting themselves, and the company sees nothing of what goes on there. With Business or Enterprise, training is excluded by default, an administrator manages the accounts, and the workspace belongs to the company. That is the first reason to move to a professional plan, before any question of features.
The plans, the price and the data, checked on 30 October 2026
The facts below come from OpenAI's help centre, checked on 30 October 2026. Prices are in dollars, excluding tax, and they change: check them before you sign. The IntraIA column is there to compare orders of magnitude, not to rank anyone.
| ChatGPT Business | ChatGPT Enterprise | IntraIA | |
|---|---|---|---|
| The price | $20 per user per month on an annual commitment, $25 monthly, with a two-seat minimum. Premium seats at $100 or $125 for five times more usage. | On quotation, depending on the number of users. | €2,250 excl. VAT per year per site until 31 December 2026, €2,790 excl. VAT after that, whatever the number of users. AI usage included up to €100 excl. VAT per year. |
| What it reads | Whatever you paste or drop into it and, with the apps connected by the administrator (Google Drive, SharePoint, Microsoft Teams and others), the company's documents, citing its sources. | The same thing, with more administrative control. | Your procedures and documents, your GED (document management system), Microsoft 365, the documentation for your business software, the answers validated by your teams, and your figures through the agents. |
| Data and training | Your data is not used for training by default. Hosting is with OpenAI; European data residency has to be requested, on the plans that offer it, Enterprise first among them. | No training, data residency available in Europe. | On your instance, an isolated server we provide or your own machine; indexing stays with you, the writing model receives the question and the useful extracts. |
| What it does well | Writing, summarising, translating, structuring, coding, reasoning over a given document, searching the web. A leading model, fast, on computer as well as on phone. | The same thing, at the scale of a large organisation. | Answering from your sources and quoting the passage, saying when it doesn't know, relaying to vendor support, having an answer validated before it enters the knowledge base, reading your figures. |
| What it doesn't do | Reading your business software and its documentation, writing to a vendor's support, having an answer validated by someone in your firm, enforcing per-file permissions on the server side. | Same. | Being a general-purpose assistant: it answers about the company, not about the whole world, and its writing still goes through a model provider, which you can configure. |
When ChatGPT is enough
A team whose work is mostly writing, summarising, translating or coding, with no business software to explain and no confidential files to handle, has in ChatGPT Business a very good tool for the price of one lunch per person per month. The connected apps read shared documents and cite their sources, and that covers a good part of what a small organisation expects from an assistant.
What we will say plainly: on model quality, speed, mobility and creative uses, ChatGPT does better than what we offer, and we are not trying to replace it on that ground. Our own writing, in fact, goes through a model vendor, which can be changed in the admin area.
What an internal AI does on top
A company's work runs through its software. An internal assistant knows their documentation and answers from it, citing the article; when that isn't enough, it writes to vendor support, chases in working days and brings back the answer. This vendor relay is live with our clients, and it exists in no general-purpose product.
A company's memory has to be governed. An answer only enters the knowledge base once an authorised person has approved it; a wrong answer is corrected in one place, and the correction holds for everyone. Permissions are checked server-side, file by file, before the model sees anything at all: a team member never receives an extract that is not theirs. The page on the internal company chatbot compares five tools on these points.
And the figures: with the accounting software and payroll connected, reporting reads the financial years and the social declarations, and AI agents write the reading of them, checked amount by amount, signed as automated. This is live at our clients. A general-purpose assistant does not know where your figures are, and should not be receiving them pasted in.
Using it on the quiet, and what the company policy says
Before you choose, look at what is already there: in most companies, ChatGPT is already in use, on personal accounts, with extracts from contracts and client names. A professional plan settles the question of training and administration; an AI charter says which data never leaves, what gets re-read before it goes out, and who to report a wrong answer to. An internal AI, finally, offers an alternative for the things the charter forbids, which is the only way to get it respected.
What goes out and what stays, in our case, is set out on the data security page: we don't promise that no data ever leaves, we say which data does.
The questions we get asked
- How much does ChatGPT cost for a company?
- As of 30 October 2026, according to OpenAI's help centre: ChatGPT Business costs $20 per user per month on an annual commitment, $25 monthly, with a two-seat minimum, and Premium seats at $100 or $125 for heavier usage. ChatGPT Enterprise is priced on request. Prices are in dollars, excluding tax, and vary by country.
- Does ChatGPT use company data for training?
- Not with the Business and Enterprise plans, where training is excluded by default. With an individual account, free or Plus, conversations can be used for training unless the person turns it off themselves, and the company sees none of it. That's the main reason to move to a professional plan, or to ban its use for work.
- Can you plug ChatGPT into the company's documents?
- Yes, on the Business and Enterprise plans, through the apps the administrator connects: Google Drive, SharePoint, Microsoft Teams and others. ChatGPT then searches those documents and cites its sources. What it doesn't connect: your business software and its documentation, their vendors' support, and a base of answers validated by your teams.
- ChatGPT or an internal AI: which to choose?
- ChatGPT, if what you need is an administered general-purpose assistant to write, summarise and search shared documents. An internal AI, if your work runs through business software, client files with different access rights for different people, figures, and a memory you want to govern. Plenty of companies need both, with a policy that says which one is for what.
- Can you have ChatGPT and IntraIA at the same time?
- Yes. They are two different tools, and nothing sets them against each other: one for the whole world, the other for the company. Our product can also talk to any service that uses OpenAI's dialect for its writing, if you prefer that provider: it is set in the admin area.
To compare for real
The demo of a manufacturing company is open without signing up. Ask it the question you would ask ChatGPT about an internal procedure, and look at where the answer comes from. Try the demo, then, once you have made up your mind, the buying page states the price with nothing hidden.
